Paper Presentation Guidelines

BEFORE ARRIVAL

Preparing your Presentation

Paper Presenters will have a maximum floor time of 20 minutes, unless otherwise indicated by the Session Chair

This includes:

  • A couple of minutes for Session Chair to announce the proposal and for the authors to come forward and set-up their presentation
  • 10 minutes maximum of slide presentation
  • 5-8 minutes of discussion depending on the interest shown in the proposal by the audience
  • Hard stop if the total time reaches 20 minutes unless permitted by the Chair

Please prepare your presentation using Microsoft Powerpoint. Your file type should be pptx.
Use the 16:9 aspect ratio for your slides.

Mac users: Please use MS-Office for Mac to create your pptx. Else you can try converting your .key file to pptx using the free online conversion utility www.cloudconvert.com

Please test the converted file on a Windows 10 computer to make sure it displays properly.

Preparation Tips

  • No fonts smaller than 20 pt.
  • As few words as possible in the bullets
  • Limit any literature review to what is absolutely needed to set the context of your study. It is important to communicate what you are doing rather than what others have done.

Legibility Quick check: In slide show mode, your text should be large enough to be easily readable 5 feet (1.5 meters) away from your computer screen.

Storing your Presentation

Please store your presentation using either or both of these two options:

  • Online Storage
    You may save your presentation in any of your online cloud or email accounts. There will be excellent Internet connectivity in all the halls for downloading it.
  • Pen Drive
    Your presentation should be on a virus-free pen drive (also called USB memory stick or thumb drive). We suggest you keep only one folder holding your presentation files, and no other files or folders on the pen drive. If you are using any video or sound files, they should be in this same folder.

If video files are part of your Presentation
If you are playing video files as part of your presentation, please check in advance that they play on the free international standard open source video player VLC down loadable from
http://www.vlcmediaplayer.org/download.html

Please test your presentation on a different computer from the one you used to create it. This will ensure that all needed files are on the pen drive and not hidden in your computer.

IN YOUR SESSION HALL

The Paper Presentation sessions will be held on the second floor of the N-Cluster building.

Please reach your session hall 10 minutes before the start of your session. Introduce yourself to the Session Manager who will assist you in downloading your presentation from the Internet or copying it from your pen drive onto the hall laptop. The name and cell number of the session manager will be emailed to you closer to the conference date.

Seat yourself near the front of the hall. When your turn comes, the session chair will read out your proposal title and author names. Any or all registered authors may come forward to present.

Speakers will not be able to use their own computers to make presentations.

Each hall will be equipped with a computer and facilities for displaying PowerPoint presentations.

Laptops for display in the halls will be equipped with following:

  • Microsoft Windows 10
  • Microsoft Office version: Office 2010
  • Adobe Acrobat Reader (latest version)
  • VLC Media Player (latest version)
  • WiFi Internet connection
